Centralized Referral Coordinator (Remote)

About the role

Arvenda is seeking a highly organized Centralized Referral Coordinator to clear a backlog of referral orders and maintain ongoing follow‑up within the Athena Practice EHR system. This remote position ensures continuity of patient care by managing referral workflows and communication with patients, specialists, and providers.

Key responsibilities

• Run referral follow‑up reports in Athena Practice to identify pending orders and prioritize backlog.
• Review patient charts, locate specialist consultation reports, and complete referral orders when no further action is needed.
• Contact patients or guardians to confirm appointment outcomes and document results.
• Reach out to specialist offices to request and route consultation reports for provider review.
• Make up to three documented outreach attempts per case and escalate unresolved referrals after unsuccessful attempts.
• Accurately record all outreach and follow‑up activities within the EHR.

Required profile

• High school diploma or equivalent; 2+ years of healthcare administrative or referral coordination experience preferred.
• Experience working with an Electronic Health Record system, preferably Athena Practice.
• Strong verbal and written communication, organizational, and time‑management skills.
• Ability to handle PHI confidentially in compliance with HIPAA.
