Legal Receptionist – Immigration Law

About the role

We are seeking a Legal Receptionist specialized in U.S. immigration law to join a growing law firm remotely. The role involves being the first point of contact for clients, managing communications, and supporting the immigration practice.

Key responsibilities

• Answer and route incoming calls professionally.
• Welcome and assist clients via phone, email, and other channels.
• Schedule consultations, appointments, and follow‑ups.
• Gather basic client information and conduct initial intake.
• Take accurate messages and direct them to the appropriate attorney or team member.
• Respond to general client questions based on firm procedures.
• Maintain accurate client records in the CRM or case management system.
• Follow up with clients and prospective clients as needed.
• Assist with administrative tasks, data entry, document organization, and scheduling.
• Handle sensitive client and case information confidentially.
• Escalate legal matters requiring attorney review.

Required profile

• At least 1 year of experience as a legal receptionist, assistant, intake specialist, or similar role.
• Previous experience with a U.S. immigration law firm is required or strongly preferred.
• Strong understanding of basic U.S. immigration terminology and processes.
• Advanced/fluent English, both written and spoken.
• Professional, friendly, and empathetic demeanor.
• Excellent phone and communication skills.
• Strong organizational skills and attention to detail.
• Ability to multitask and prioritize in a fast‑paced environment.
• Reliable, proactive, and able to work independently in a remote setting.

Required skills

• Experience with CRM platforms.
• Familiarity with case management software.
