Remote Property Maintenance Coordinator

About the role

We are looking for a detail‑oriented Remote Property Maintenance Coordinator to manage maintenance processes for property owners and tenants. The role is essential for ensuring timely service delivery and high satisfaction.

Key responsibilities

• Receive, document, and manage work orders, communicating with vendors, owners, and tenants via phone and email.
• Schedule, coordinate, and follow up on service requests, ensuring invoices are attached to the correct work orders.
• Maintain timelines for all maintenance activities, schedule inspections and semi‑annual property surveys.
• Onboard and manage vendor records, develop relationships with new and existing vendors.
• Provide excellent customer service, qualify incoming work orders, and perform basic troubleshooting.
• Collaborate with internal teams to support operational efficiency and align with company procedures.

Required profile

• Minimum 2 years of experience handling maintenance requests in a property management setting.
• Strong verbal and written English communication skills with tenants, vendors, owners, and internal staff.
• Ability to make decisions and prioritize tasks under pressure.
• Highly reliable, organized, self‑directed with strong follow‑through.

Required skills

• Experience with property management software such as Rentvine, Aptly, AppFolio, or Propertyware.
• Ability to interpret maintenance scopes, estimates, and invoices.
