Remote Property Maintenance Coordinator

About the role

We are seeking a detail‑oriented and proactive Maintenance Coordinator to manage the maintenance process for property owners and tenants. The role ensures seamless, efficient service delivery and supports a positive living experience.

Key responsibilities

• Receive, document, and manage work orders.
• Communicate with vendors, property owners, and tenants via phone and email.
• Schedule, coordinate, and follow up on service requests and work order completions.
• Review and attach invoices to corresponding work orders.
• Ensure maintenance activities adhere to established timelines.
• Schedule and facilitate inspections and semi‑annual property surveys.
• Manage vendor onboarding and maintain updated records.
• Source and develop relationships with new and existing vendors.
• Provide excellent customer service to residents, owners, and team members.
• Qualify incoming work orders through exploratory questions and basic troubleshooting.
• Maintain consistent follow‑up on all tasks and updates.
• Respond promptly and professionally to calls, emails, and messages.
• Collaborate with internal team members to support operational efficiency.
• Ensure alignment with company procedures and property‑management best practices.

Required profile

• Minimum 2 years of experience handling maintenance requests.
• Solid knowledge of property management or maintenance coordination.
• Strong verbal and written English communication with tenants, vendors, owners, and staff.
• Excellent decision‑making and prioritization under pressure.
• Highly reliable, organized, and self‑directed with strong follow‑through.
