Medical Office Manager - Primary Care Practice

About the role

We are seeking an experienced Medical Office Manager to support our client's Direct Primary Care practice. The ideal candidate brings prior hands‑on experience in U.S. clinical administration, prior authorizations, and practice workflow design, with the leadership capability to establish back‑office processes and communicate seamlessly with elderly patients.

Key responsibilities

• Process Design & Workflow Optimization: map, establish, and document end‑to‑end back‑office systems and SOPs.
• EMR & Platform Integration: configure and manage workflows across Elation, Spruce, and Hint, including form routing, patient intake, and electronic signatures.
• Prior Authorizations & Insurance Verification: handle end‑to‑end prior authorization submissions, appeals, and coverage verifications.
• Patient & Clinical Support: manage patient communications, intake forms, appointment scheduling, medical records, referrals, and fax coordination.
• Performance & Operations Management: set up operational KPIs, organize back‑office tasks, and streamline daily processes as the practice grows.

Required profile

• Extensive experience in U.S. clinical/medical administrative management.
• Proven track record in prior authorization processing and medical records management.
• Strong background in building operational processes, SOPs, and tracking metrics/KPIs.
• Exceptional verbal communication in clear spoken English for interacting with an elderly patient demographic.
