Executive Operations Coordinator

About the role

We are seeking a proactive, detail‑oriented Executive Operations Coordinator to act as the right‑hand to our founder. In this role you will own day‑to‑day operations, keep projects moving, and partner in strategic discussions within a small, distributed team.

Key responsibilities

• Maintain the master to‑do list, track outstanding items and follow up relentlessly until completion.
• Coordinate client and third‑party paperwork, compliance requirements and ongoing communication with financial service providers.
• Support strategic conversations, prepare presentation decks and provide status updates on projects and prospective clients.
• Manage weekly social‑media posting schedule using pre‑produced content across platforms.
• Organise shared drives (Box, Google Drive) and troubleshoot basic technical issues or route them to the appropriate support.

Required profile

• 2–5 years of experience in operations, executive support, coordination or client‑facing administrative roles.
• Background in banking, financial services or corporate finance with familiarity of compliance documentation.
• Proven ability to work independently, anticipate problems and manage multiple priorities without missing deadlines.
• Excellent English communication skills (C1/C2 level).
• Experience with US‑based remote or distributed teams is a strong plus.
