Virtual Executive Assistant to CEO (Remote)

About the role

Viva is looking for a proactive Virtual Executive Assistant to support up to three fast‑growing startup CEOs across the US and Canada. This remote, full‑time contractor role focuses on building structure, improving processes, and keeping executives organized so they can focus on growth.

Key responsibilities

• Manage calendars, inboxes, meetings, travel arrangements, and expense reporting.
• Create and refine workflows, trackers, and documentation.
• Support project coordination, reporting, and process improvement initiatives.
• Coordinate across teams and stakeholders, tracking deadlines, dependencies, and deliverables.
• Identify inefficiencies and propose better systems.

Required profile

• At least 2 years of general work experience with a 2+ year tenure in one of the last three roles.
• Fluent English (C1 level) and detail‑oriented mindset.
• Comfortable working in fast‑paced, remote environments.
• Excited about AI and automation tools.
