Remote Executive Assistant to CEO

About the role

Viva is seeking a proactive Remote Executive Assistant to support up to three fast‑growing startup CEOs across the US and Canada. You will act as a trusted partner, anticipating needs, streamlining operations, and helping leaders stay ahead in a dynamic environment.

Key responsibilities

• Manage calendars, inboxes, meetings, travel arrangements, and expense reporting.
• Design and maintain workflows, trackers, and documentation to improve efficiency.
• Support project coordination, reporting, and process‑improvement initiatives.
• Facilitate communication across teams and stakeholders, tracking deadlines and deliverables.
• Identify inefficiencies and propose better systems and tools.

Required profile

• At least 2 years of professional experience with a minimum 2‑year tenure in one of the last three roles.
• Fluent English (C1 level) and reliable, proactive communication style.
• Interest in AI, automation, and continuous learning.
• Comfortable working remotely with a fixed schedule and no overtime.

What we offer

• Full‑time contractor role with a base of $1,200 USD per month, up to $1,600 USD including performance bonuses.
