Bilingual General Operations Virtual Assistant (QuickBooks)

About the role

We are looking for a proactive, bilingual Virtual Assistant to keep day‑to‑day operations running smoothly for a flooring services client. The role blends basic bookkeeping, phone reception, and light community engagement, allowing you to own your tasks and work independently.

Key responsibilities

• Perform QuickBooks Online reconciliations by matching credit‑card and bank transactions to receipts.
• Enter vendor invoices, bills, and payments accurately, maintaining organized records for monthly CPA review.
• Answer the main office line (5‑19 calls/day) with a warm, professional demeanor and handle basic customer inquiries.
• Schedule and coordinate estimate appointments for external sales representatives.
• Communicate in English with homeowners and in Spanish with installation crews.
• Monitor and respond to flooring‑related questions on community platforms (low priority).

Required profile

• Fully bilingual in English and Spanish, both spoken and written.
• Hands‑on experience with QuickBooks Online and basic bookkeeping tasks.
• Comfortable speaking on the phone, projecting confidence and friendliness.
• Highly self‑driven, proactive, and able to anticipate daily operational needs.
• Exceptional attention to detail and strong time‑management skills.
