Monitor and assess vendor performance against key criteria such as service quality, responsiveness, compliance, cost-effectiveness, and timely delivery, ensuring any gaps are addressed through appropriate corrective actions. Maintain accurate and comprehensive procurement records including purchase requests, quotations, bid evaluations, contracts, and payment documentation to support transparency, accountability, and audit readiness in line with FCDO standards. Coordinate end-to-end travel and transport arrangements for official staff, consultants, and visiting partners, including the planning and execution of domestic and international travel. Manage and process payment requests by ensuring invoices are accurately verified against purchase orders, contracts, and delivery records. Collaborate closely with Finance teams to facilitate timely vendor payments, oversee travel advance reconciliations, and support budget tracking and monthly procurement reporting. Responsible for creating Purchase Orders (POs) in the HERA financial system to facilitate the procurement of goods and services supporting logistics and transport operations. This involves ensuring that all procurement requests are appropriately authorised, accurately documented, and fully compliant with FCDO procurement policies and budgetary controls. Following the delivery of goods or completion of services, manage the receipting process within the HERA financial system by verifying that all items received accurately correspond to the specifications, quantities, and contractual terms outlined in the approved purchase orders. This involves close coordination with end-users and suppliers to confirm satisfactory delivery and resolve any discrepancies. Once verification is completed, ensure that all valid and compliant supporting documentation and legal receipts are properly compiled and submitted to the Finance team to facilitate timely payment processing. Manage and maintain inventory of critical transport assets, including vehicle tyres, batteries, and spare parts, to ensure the operational readiness and reliability of the embassy fleet. This involves monitoring stock levels, forecasting demand based on maintenance schedules and usage trends, and initiating timely replenishment in line with FCDO procurement procedures. Maintain accurate and up-to-date inventory records through structured stock control systems, ensuring all items are properly recorded, tracked, and accounted for. Conduct regular stock checks and reconciliations to identify discrepancies, prevent stock losses, and uphold strong internal controls. Coordinate closely with procurement and workshop teams to ensure the quality, specification, and timely availability of parts, while also verifying that all issued items are appropriately documented and linked to vehicle maintenance activities. Ensure proper storage conditions and handling of sensitive items, such as batteries, to preserve quality and safety standards. Support audit readiness by maintaining clear documentation of stock movements, receipts, and usage, ensuring full compliance with FCDO financial regulations, health and safety standards, and asset management policies. Line manages a team of 15 drivers, providing managerial support, coaching and guidance on all operational matters. Provide regular performance updates and team development requirements for Transport Manager, ensuring that the departmental resilience plan is running effectively. Manage staff rosters, overtime and annual leave within the departmental budget and providing forward planning support to the Transport Manager. Preparing a summary spreadsheet detailing timely private fuel usage and sending it to the Finance Team and sending individual fuel bills for FCDO staff for their private vehicles fuel usage.
