Bilingual Medical Sales & Patient Intake Specialist (Rehab)

About the role

We are looking for a warm, high‑converting, sales‑focused Patient Intake & Lead Conversion Specialist to own both inbound and outbound lead pipelines for our rehabilitation practice. This is primarily a healthcare sales position with secondary administrative responsibilities, serving as the main voice of the practice for Medicare‑age patients and their families.

Key responsibilities

• Convert prospects from phone, web, Meta ads, physician referrals, assisted‑living facilities and faxes into booked physical‑therapy evaluations.
• Engage leads within minutes using GoHighLevel (GHL) via phone and text.
• Communicate in a warm, consultative tone with Medicare‑age adults and their adult children, addressing concerns and booking visits.
• Create and update patient cases in Prompt EMR, scheduling visits according to clinic rules and provider availability.
• Maintain accurate GHL pipeline stages (New, Contacted, Booked, No‑Show, Nurture, Lost).
• Perform initial benefit verifications with support from the billing team.
• Coordinate schedule conflicts and special needs with on‑site Patient Care Coordinators and ALF directors.
• Utilize Prompt online scheduling and waitlist tools, providing phone support for patients needing personalized guidance.

Required profile

• Lead‑conversion experience in physical therapy, rehabilitation, dental, med‑spa or specialty healthcare clinics.
• Proven ability to communicate effectively with Medicare‑age adults and their caregivers.
• Hands‑on experience with healthcare VoIP platforms such as Weave.
• Working knowledge of Direct Access regulations and escalation procedures for complex insurance queries.
• Availability for a full‑time contractor role (40 hours/week) Monday‑Friday, 8:30 am‑5:30 pm EST.
